EMPLOYER ADVICE

Turn Job Fair Conversations into Scheduled Interviews

Leave the event with an owner and a next action for every candidate you intend to contact.

Michigan workforce guide: workplace context

Make the next step easy to understand

Before a visitor leaves your booth, explain the next action and the expected timing. If your team can schedule interviews, offer specific available windows. If another manager must review an application first, identify that step honestly. A vague promise to reach out leaves both parties without a useful plan.

Record enough context to personalize follow-up

Note the role discussed, relevant experience, shift preference, and a candidate-approved contact method. Keep observations focused on work qualifications. After the event, assign each promising conversation to a named team member and track whether that person received a response, booked an interview, or requested additional information.

A practical detail to check

Create a short message template, but leave space for the role and conversation detail. Sending everyone the same unrelated application link can undo a useful introduction. Review the list after follow-up and distinguish people awaiting a reply from those whose next step is already booked.

Put the advice into practice

Choose one current role or recruiting activity to use as a pilot. Review the details with the person who owns the work, and confirm that the written information reflects the actual opportunity. Keep a dated note of the changes so your team can distinguish the current version from an older message or document.

After the next candidate interaction, ask whether the information helped move the process forward. Look for a specific issue you can correct, rather than assuming one response proves the whole approach works. Share the correction with everyone using the materials. Consistent execution matters as much as a carefully prepared first draft.

Before you move on, write down your next action in one sentence: leave the event with an owner and a next action for every candidate you intend to contact. Give that action a realistic time in your schedule and keep any unanswered questions beside it. Review those questions when you receive new information instead of treating an assumption as a confirmed detail.
